PA / Group Operations Manager - Specialist Recruitment

We are an established Recruitment Consultancy looking for an intelligent individual to join in a multi-functional capacity as Office Manager/PA to Director/HR Assistant located in the heart of the City. This position can be part or full-time with flexible working hours.

Prior recruitment administration experience is highly sought after, along with the following attributes:

  • The ability to see that projects are completed quickly and thoroughly.
  • Strong work ethic with the ability to initiate things independently
  • Effective in establishing working relationships with peers
  • Excellent verbal and written communication skills
  • Highly organised working well under pressure

A summary of tasks involved:

PA to Director

  • Arranging and booking transport, hotel and restaurant reservations
  • Liaising with I.T. to update the company website
  • Maintaining the company intranet and liaising with offsite providers
  • Various ad hoc duties including awards and event management

Office Management

  • Refining the companies work processes
  • Assisting with preparation for IR35 processes and Database/CRM Compliance
  • Managing terms of business
  • Extracting the following documents and spreadsheets:
    • Weekly Resourcer and Consultants statistical documents
    • Quarterly & Annual Statistical documents
    • Quarterly & Annual Staff Review documents
    • Company Information Presentation
    • Resourcer search spreadsheets
  • Ensuring the smooth running of the office including
    • IT support and liaising with our hosted platform provider to maintain a good working environment for all staff members
    • Maintaining Laptops, printer scanner and other equipment
    • Monitoring and ordering stationary
    • Liaising with the office premises supplier for matters regarding our Broadband and any other issues that may arise

HR Management

  • Updating the following documents:
    • Employee Handbook
    • Staff files e.g. for new starters, HR files etc
    • Holiday and sickness records and forms
    • Offer letters and contracts
    • Arranging all necessary paperwork's for hiring
    • Onboarding set-up
      • IT set-up
      • iPhone set-up
      • Creating user logins on CRM and associated technologies
    • Managing training documents / portals for new staff
    • Organising induction and off site training of new staff
    • Maintaining and updating staff files
    • Conducting reference checks
